Privacy policy
How Coolderry Civil Pty Ltd collects, holds, uses, discloses and protects personal information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Who we are
This privacy policy applies to Coolderry Civil Pty Ltd (ABN 91 700 023 132, ACN 700 023 132), an Australian proprietary company registered in Western Australia, and to the website at coolderryciviltec.site. In this policy, "we", "us" and "our" mean Coolderry Civil Pty Ltd.
"Personal information" has the meaning given to it in the Privacy Act 1988 (Cth): information or an opinion about an identified individual, or an individual who is reasonably identifiable.
2. Our commitment
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) set out in Schedule 1 to that Act. This policy is our open and transparent statement of how we manage personal information, as required by APP 1.
We are a civil contracting business. The personal information we deal with is almost entirely business contact information about the people who engage us, work with us on site, or supply us with materials and plant.
3. Information we collect
The kinds of personal information we may collect and hold include:
- Contact and identity details — name, business name, position, email address, telephone number and postal or site address.
- Project information — the site address, drawings, survey data, levels, scopes of work and correspondence relating to a job, which may incidentally identify individuals.
- Commercial information — quotations, purchase orders, contracts, invoices, payment records and account details supplied to us by clients, subcontractors and suppliers.
- Site and safety records — site inductions, attendance records, incident reports and other records we are required to keep in connection with work health and safety obligations.
- Recruitment information — where a person applies to work with us, their résumé, work history, licences, tickets and referee details.
We do not seek or knowingly collect sensitive information as defined in the Privacy Act, except where it is directly related to a work health and safety obligation and the individual has consented, or where the collection is otherwise required or authorised by law.
4. How we collect it
Wherever it is reasonable and practicable to do so, we collect personal information directly from the individual concerned. That usually happens when you:
- email us at [email protected], or use the quote request form on our contact page, which opens a message in your own email client;
- engage us to carry out works, or provide goods, plant or services to us;
- attend one of our sites and complete an induction or sign in; or
- apply for work with us.
We may also collect personal information from third parties where direct collection is not practicable — for example from a principal contractor, a superintendent, a consulting engineer, a surveyor, a local government authority or a publicly available business register.
5. Why we collect, hold and use it
We collect, hold and use personal information for the purposes for which it was provided and for related purposes you would reasonably expect, including to:
- respond to enquiries and prepare quotations and scopes of work;
- plan, price, programme and carry out civil works;
- manage contracts, subcontractors, suppliers and plant hire arrangements;
- invoice, collect payment and maintain our accounting records;
- manage site safety, inductions, traffic management and incident reporting;
- consider applications for employment or engagement; and
- comply with our legal, taxation, insurance and work health and safety obligations.
We do not use personal information for direct marketing without a lawful basis for doing so, and any marketing communication we send will include a simple way to opt out.
6. When we disclose personal information
We may disclose personal information to:
- our employees, subcontractors and plant operators, so far as they need it to carry out the works;
- a client, principal contractor, superintendent, consulting engineer or surveyor involved in the same project;
- suppliers of materials, haulage or plant engaged in connection with a job;
- our professional advisers, including accountants, insurers, brokers and lawyers;
- local government authorities and service providers where an approval, permit or connection is required; and
- any person or body to whom disclosure is required or authorised by an Australian law, a court or a tribunal.
We do not sell, rent or trade personal information.
7. Overseas recipients
Our business is operated from Western Australia and we do not routinely disclose personal information to overseas recipients. Some of the software and hosting services we use, including the provider that hosts this website, may store or process data on servers located outside Australia. Where APP 8 applies, we take reasonable steps to ensure that any overseas recipient handles personal information in a way consistent with the Australian Privacy Principles.
8. This website and cookies
This website is a static site. It does not require you to create an account, and it does not set cookies for analytics, profiling or advertising. There are no third-party tracking scripts, embedded social media widgets or advertising pixels on any page.
The quote request form on our contact page does not transmit anything to a server operated by us. Submitting it opens a message in your own email application, pre-filled with what you typed, which you then choose to send or discard.
Like any website, requests to coolderryciviltec.site are handled by a hosting provider that may keep short-term technical logs — such as IP address, request time, requested page and browser type — for security, abuse prevention and to keep the service running. We do not use those logs to identify individual visitors.
9. Security and data quality
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Those steps include restricting access to records to people who need them, using password protection and reputable hosted services, and securely destroying or de-identifying information we no longer need.
We also take reasonable steps to ensure the personal information we collect, use and disclose is accurate, up to date, complete and relevant. If your details change, please tell us so our records stay correct.
No method of transmission or storage is completely secure. If we suffer a data breach that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth).
10. How long we keep personal information
We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as we are required to keep it by law. Financial and taxation records are generally retained for at least five years. Contract, safety and project records are generally retained for the period during which a claim could still be made in relation to the works. When information is no longer required, we destroy it or de-identify it.
11. Access and correction
Under APP 12 and APP 13 you may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.
Please make your request in writing to [email protected]. We will need to verify your identity before we release any information. We will respond within a reasonable period, ordinarily within 30 days. Access is free, although we may charge a reasonable cost-recovery fee for supplying copies of a large volume of material.
If we refuse access or refuse to make a correction, we will tell you in writing why, and how you may complain about that decision.
12. Complaints
If you believe we have breached the Australian Privacy Principles or otherwise mishandled your personal information, please tell us first. Email your complaint to [email protected] with enough detail for us to investigate. We will acknowledge your complaint, investigate it, and give you a written response, ordinarily within 30 days.
If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner (OAIC), which is the independent regulator for privacy in Australia. The OAIC can be contacted through its website at oaic.gov.au, by telephone on 1300 363 992, or by post at GPO Box 5218, Sydney NSW 2001.
13. Changes to this policy
We may update this policy from time to time to reflect changes to our practices or to the law. The current version is always the one published on this page, and the date at the top shows when it was last revised. Continuing to deal with us after a change takes effect means the revised policy applies.
